How can I request & pick up items from Colgate Libraries’ collections?

Contact-free pickup is here!  “Request” an item in Colgate Libraries’ catalog" and use our contact-free pickup inside the third floor East entrance of Case-Geyer, facing the James B. Colgate Hall Colgate Hall or at East Hall (by the elevator) in the Cooley Science Library.

You will receive an email when your items are ready for pick-up. Your name will be on your item(s).  Contact-free pickup times are available during open Library hours.

Students under initial quarantine may remotely “request” an item at any time. It will be checked out and available for contact-free pickup.

Will students be able to have library materials delivered to them during the first two weeks of quarantine?

The libraries are not able to deliver library materials but students may request and pick-up materials as outlined above.

Is there an extended loan period for items I have borrowed and am not able to return?

Student due dates for all Colgate-owned library materials will automatically be extended until MAY 13th, 2021.
Faculty due dates are currently set to JULY 2nd, 2021.

What will the Libraries' hours be for Spring 2021?

Both Case and Cooley libraries will have limited hours of operation and the schedule will coincide with which "Gate" we are in but may change abruptly due to multiple factors (including University or state directives). You are strongly encouraged to visit our official Library Hours of Operation  page for updated hours. 

What can I request from Interlibrary Loan?

Loan requests WILL continue, but as academic libraries across the country remain closed due to COVID-19 patrons should expect a significant delay.

Colgate University Libraries are continuing to provide digitized articles. Although we are still unlikely to receive requested physical materials at this time due to library closures across the country and the world you may still request them.

Will I be fined for materials I am unable to return to the Library? 

Overdue fees will be waived once the item is returned if students, faculty, or staff are not able to return materials to the library by the due-date.

How do I return materials to Case and Cooley Libraries? 

If you are on campus, library materials may be returned to the book return located inside the third floor East entrance of Case-Geyer, facing James B. Colgate Hall, or the book drop located outside of the Cooley Science Library.

Can I return library items via mail?

We ask that you do NOT return Colgate books, DVDs, etc. via mail or other delivery service; the Library will not charge for items that go to overdue/lost status as long as they are returned when you are able to return to campus.

As a faculty member how do I request digitization of course materials?

Faculty may request course materials be made available electronically from both Case-Geyer and Cooley Science libraries for use on Moodle.

The library will first attempt to purchase an electronic version or streaming copy of materials needed for reserve use. You may request them using the Library Purchase Request form or by contacting the Acquisitions Department. Please be sure to indicate that the item is for reserve and the course number.

Please allow ample time for requests to be processed. All requests are handled in the order in which they are received. While we aim to handle all requests as quickly as possible, during peak times, the turnaround time may be as long as two weeks.

Can I receive scans of printed items if I am unable to visit the libraries?

Faculty and students working remotely may request electronic document delivery of print journal articles, book chapters, and other documents to be scanned from the Colgate University Libraries' collections.

What materials can I request to be scanned? 

  • - Journal articles 
  • - Table of contents
  • - Book chapters 

What CAN'T be requested?

  • - Items from Special Collections and University Archives (SCUA)
  • - Items too fragile or brittle for scanning

Is there a way to self-checkout books?

Yes, you can self-checkout library books on the new meeScan terminals located at the Case and Cooley Circulation desks or by using the meeScan app.

Can I reserve a senior study carrel?

Due to physical distancing regulations and limits on building capacity we are not able to assign carrels to students during the COVID-19 pandemic. Questions and concerns regarding carrel space assignment and occupation should be addressed to Rob Capuano, Borrowing Services Manager rcapuano@colgate.edu.

Can I use a locker in Case-Geyer?

The library will not be checking out locker keys due to physical distancing and sanitization regulations.

How do I reserve a room in the libraries?

Student organizations will no longer be allowed to reserve spaces directly. Staff members will be required to reserve spaces on EMS for student gatherings. Individual students will still be able to reserve library study rooms and other areas that don’t require scheduler approval. Please note that there are revised “physical distancing” capacities for every room, indicating how many people can use a room while maintaining six feet of separation between each person.  For more details see Event and Meeting Guidelines During COVID-19. 

Can community members use the libraries?

We strongly encourage you to request items via ILL at your academic institution or public library and NOT visit Colgate campus during the pandemic. Building capacities will be significantly reduced and priority will be given to Colgate faculty, students, and staff to access library spaces and collections.

If I have an accessibility need related to the libraries who do I contact?

Students, faculty, and staff with disabilities may be eligible for additional modifications of library services. Please contact Debbie Krahmer dkrahmer@colgate.edu, the Accessible Technology and Government Documents Librarian, for more information and assistance. 

In providing the digitization services we must follow relevant copyright laws. However, due to the current public health crisis due to COVID-19, copyright laws may be interpreted more leniently for scholarly use. 

As long as Colgate Libraries are being thoughtful, providing good copyright information when asked, and limiting activities to specific, time-bound needs of instructors and students for the rest of the semester, CUL is able to support our faculty and students at this moment. In doing so, we are applying fair use prudently and managing risk sensibly but we are not crafting permanent policy.

*Fair use is a flexible limitation on copyright which states “Notwithstanding the provisions of sections 106” (the copyright owner’s rights) “the fair use of a copyrighted work…for purposes such as criticism, comment, news reporting, teaching, scholarship, or research” is not an infringement of copyright.

When did the libraries reopen to faculty and students?

The University Libraries buildings reopened to faculty and staff on August 27, 2020 and reopened to students after the quarantine on September 8, 2020.
