Facility Use Policies

The Case Library and Geyer Center for Information Technology faculty and staff welcome the use of our spaces by the Colgate University community, for both instructional and non-instructional activities such as meetings or informal gatherings. Colgate employees should not make room requests on behalf of non-Colgate groups without advance consultation with the University Librarian. No fee or cost should be associated with any event.

Faculty and students are welcome to use the many unique and comfortable spaces creatively and as often as they would like. Some spaces may be scheduled through the Events Management System (EMS); see details below. Note that only the seminar rooms on Levels 4 and 5 (415, 438, 515, 535) may be used as the primary classroom for courses. When not reserved for a class, all four seminar rooms will be open after 6pm to provide additional seats for individual quiet study.

All spaces are governed by Case-Geyer policies regarding the public use of the building:

  • “Leave No Trace”: food must remain in the Café, Flex Room 565, and Batza Room 560
  • Beverages in covered containers are permitted throughout the building, except for Special Collections & University Archives
  • Instruction and meeting spaces shall be returned to their original arrangements
  • No posting, tacking, or taping of anything on the walls or glass in any of the spaces

  • Meeting space available to the Colgate University community with priority given to ITS and Library meetings, instruction, and student presentations.  Secondary use for committee and University affiliated group meetings.
  • Located on east side of level 5.
  • Presenter’s networked workstation includes data projection, document camera, wall-mounted screen, VCR, DVD, and sound system to fully integrate educational technology.
  • Conference table with up to 50 chairs.
  • May not be used as the primary classroom for courses.
  • Any meeting with catered food must begin at 9 am or later on weekdays. Caterers cannot get into the building before it officially opens.
  • Food and covered beverages are permitted; contact facilities to submit a work order for cleanup. Requires departmental budget code.

Grover Hargrove Digital Learning and Media Center
  • Primary function is to support ITS and Libraries classroom media instruction and for regular course sessions in which the faculty and students will need on-going access to resources for teaching and learning about media editing and creation.
  • Located adjacent to the Learning Commons on level 5.
  • Equipped with 16 networked individual Macintosh workstations and 4 MacBook Pro laptops with media editing software.
  • Instructor’s networked workstation includes data projection control of all computers in the room, wall-mounted screen, Blu-Ray DVD player, and state-of-the-art surround sound system to fully integrate educational technology.
  • Primarily reserved for ITS and Libraries media use each semester and as needed for media-intensive regular courses.
  • Secondary use is as a media lab for students and faculty editing and creating media projects. The space serves as a computer lab exclusively for media editing and creation.
  • Otherwise available to Colgate University students and faculty for instructional sessions or workshops during academic intercessions and summers with priority given to Library and ITS activities.
  • Not available as the primary classroom for academic courses scheduled by the registrar. Multiple course sessions may be taught in the lab by faculty but this does not serve as the primary classroom.

Loesch Special Collections & University Archives
  • The Loesch Special Collections & University Archives is on the south side of level 2.
  • Special Collections include the Henry A. Colgate Collection of Joseph Conrad, the Richard S. Weiner Collection of George Bernard Shaw, the Powys Family Collection, literary materials on T.S. Eliot, Mark Twain, and other authors, collections relating to the history of Hamilton and Madison County, New York, and other rare books and manuscripts.
  • The University Archives is the repository for materials on the history of Colgate University and about current and former students, faculty, and staff.
  • These primary resource collections provide students with many opportunities to do original research.
  • Neither food nor covered beverages are permitted.

  • Priority for booking will go to faculty for regularly scheduled classes booked through the Registrar and individual instruction sessions as well as to students for group presentations.  Otherwise, the rooms may be reserved by Colgate community members for meetings (before 6pm) or group work requiring equipment in the room
  • Rooms not reserved for classes will be kept open after 6pm for additional individual quiet study seating
